The short version: we collect only what we need, we never sell your data, and we'll delete it whenever you ask. The longer version is below.
1. Who we are
TroisTech is a software development company that builds AI-powered tools for businesses. When this policy says "we," "us," or "TroisTech," that's who we mean. You can reach us anytime at hello@troistech.com.
2. What we collect
We collect only what we need to do our work. Specifically:
- Contact details — When you fill out our contact form or email us, we collect your name, email address, company name, role, and any details you share about your project.
- Communication history — Our email exchanges, call notes, and any documents you share with us during projects.
- Website usage data — Basic, anonymized data about how visitors use our site (pages viewed, time on page, etc.). This is collected through standard web analytics tools.
- Project data — During client engagements, we may handle business data you share with us as part of the work. This is treated with the highest level of confidentiality and covered by our service agreements and NDAs.
3. What we don't collect
We don't:
- Track you across other websites
- Sell your data to anyone, ever
- Use your data to train public AI models
- Share your information with advertisers
- Profile you for marketing manipulation
4. How we use what we collect
We use the information we collect to:
- Reply to your inquiries and schedule calls
- Prepare proposals and deliver project work
- Improve our website and services
- Send you project updates if we're already working together
- Comply with our legal obligations (taxes, contracts, etc.)
5. Who we share data with
By default — no one. The only exceptions are:
- Service providers we trust (e.g., email hosting, cloud infrastructure, accounting software). These vendors are contractually obligated to handle data securely.
- Legal requirements. If we receive a valid legal request, we may need to disclose data. We'll always notify you unless legally prevented from doing so.
- Anyone you specifically authorize. If we're working together and you ask us to share data with a third party, we will.
6. How long we keep your data
We hold onto information only as long as we have a clear reason to:
- Contact form submissions: kept for up to 24 months, unless you become a client or ask us to delete it sooner.
- Client project data: kept for the duration of our engagement, plus a reasonable period afterward for tax, contractual, and support purposes. Typically 7 years to meet record-keeping obligations.
- Email and communications: kept as long as needed for the ongoing relationship.
You can ask us to delete any of this data at any time.
7. Your rights
You have the right to:
- Know what data we have about you
- Access a copy of that data
- Correct any inaccurate data
- Delete your data (with some exceptions for ongoing client work)
- Restrict how we use your data
- Object to our use of your data
- Take your data elsewhere (data portability)
To exercise any of these rights, just email hello@troistech.com. We'll respond within 30 days, usually much sooner.
8. How we keep your data safe
We use enterprise-grade security practices including:
- Encrypted data transmission (HTTPS everywhere)
- Encrypted storage for sensitive data at rest
- Strict access controls — only team members who need to access your data can
- Regular security audits and updates
- NDAs and security training for everyone on the team
That said, no online system is 100% secure. If something goes wrong, we'll tell you within 72 hours of discovering it.
9. Cookies
Our site uses minimal cookies — essentially just what's needed for basic site functionality and anonymous analytics. We don't use tracking cookies, advertising cookies, or social media cookies. You can disable cookies in your browser at any time without affecting your ability to use the site.
10. International data transfers
We may store data on servers located in different countries (primarily the US and EU, depending on the service). When we transfer data internationally, we use providers with appropriate safeguards (Standard Contractual Clauses, adequacy decisions, etc.).
11. Children's privacy
Our services aren't intended for anyone under 18. We don't knowingly collect data from minors. If we discover we have, we'll delete it immediately.
12. Changes to this policy
If we make significant changes to this policy, we'll update the "last updated" date above and, if you're an active client or contact, notify you by email. Minor wording changes won't trigger a notification.
